Overview
The Notify Managers for Overdue Policies feature helps improve policy compliance by keeping managers informed when employees have overdue policy acknowledgements.
When enabled by your organization's policy managers, managers can be included in overdue policy notification emails after a configurable period. This provides visibility into outstanding policy acknowledgements and encourages timely completion.
Why This Feature Exists
Organizations often require employees to review and acknowledge important policies. When these policies remain unacknowledged beyond their due date, they become overdue.
This feature helps by:
Increasing accountability for overdue policies.
Providing managers with visibility into outstanding employee acknowledgements.
Supporting organizational compliance requirements.
Reducing the need for manual follow-up by administrators.
How It Works
A policy is assigned to an employee.
The employee does not acknowledge the policy by the required due date.
The policy becomes overdue.
The system continues sending overdue reminder emails to the employee.
Based on your organization's configuration, the employee's manager may be copied (CC'd) on these overdue notifications.
After the configured number of manager notifications has been reached, overdue reminders continue to be sent to the employee, but the manager is no longer copied.
Steps to turn ON this feature
Policy Managers can turn ON this feature by filling the below details. (By default the value of below dropdown will be None)
Navigate Accounts -> Company Settings
Under Company Settings, navigate to Email Settings section
The bottom section of the page provides Policy Managers with the ability to configure notification parameters according to their organization's requirements
By default the value of the dropdown "Start overdue notification emails:" will be None.
When the first dropdown has a value chosen , then the second dropdown "Stop overdue notification emails:" will appear for policy managers to select
Key Features
4.1 Manager Notification Emails
When configured by your organization:
Managers receive visibility of overdue policy acknowledgements.
Managers are included as a CC recipient on overdue reminder emails.
Notifications are sent according to company-defined schedules and limits.
Example:
If the organization configures:
Start overdue notifications email: Second week Overdue
Stop overdue notifications email: End after 3 occurrences
Then:
Employees receive regular overdue reminders.
Once the policy reaches 2 weeks overdue, the manager begins receiving CC notifications.
The manager is copied on the next 3 overdue reminders.
After the third occurrence, only the employee continues receiving reminders.
4.2 Consolidated Notifications
To avoid sending multiple emails:
Employees receive a single consolidated overdue reminder email.
If multiple policies are overdue, all overdue policies appear in one email.
Managers are copied on this consolidated email instead of receiving separate emails for each overdue policy.

Prevents manager inbox overload.
4.3 Manager Information Requirements
For manager notifications to work:
The employee must have a valid manager's email address recorded in the system, under the user field.
This feature sends notifications to a user's manager. To ensure alerts work properly, please make sure each user Manager Email field is completed under user attributes and kept up to date.
If:
No manager is assigned, or
The manager field is blank, or
The value entered is not a valid email address,
then:
The employee will continue receiving overdue reminders.
No manager will be copied on notifications.
The system will continue functioning normally.
4.4 Understanding "Weeks Overdue"
Organizations can configure when manager notifications begin.
Example
Policy Due Date: July 10
Configuration: Manager Notifications start at 2 weeks overdue
Result:
Employees continue receiving standard overdue reminders.
Once the policy reaches two weeks overdue, manager notifications begin.
System checks overdue policies during its scheduled notification cycle.
4.5 What Happens When Manager Details Change?
Manager Changed
If a manager's email address is updated:
Future overdue notifications will use the new manager's email address.
Previous managers will no longer receive notifications.
Existing notification counts are preserved.
Manager Removed
If the manager's email is removed:
The employee continues receiving overdue notifications.
No manager is copied on future emails.
Notification processing continues without interruption.
4.6 What Happens When Users Are Removed and Re-Added?
User Removed
If a user is removed from the profile:
Overdue notifications stop.
No emails are sent to the user.
No emails are sent to the manager.
User Re-Added
If the same user is added back:
Scenario 1 - Notification Limit Not Reached
Example:
Total manager notifications allowed = 3
1 notification already sent
User removed and later re-added
Result:
Notification history is retained.
Only the remaining 2 notifications will be sent.
Scenario 2 - Notification Limit Already Reached
Example:
Total manager notifications allowed = 3
All 3 notifications already sent
User removed and re-added
Result:
No additional manager notifications will be sent.
4.7 Policy Redraft and Re-Acknowledgement
If a policy is:
Redrafted
Redistributed
Marked as Re-Acknowledgement Required
then:
Notification counters are reset.
A new acknowledgement cycle begins.
If the policy is still overdue, manager notifications reset from the beginning according to the configured settings.
4.8 Newly Assigned Policies
The feature supports policies assigned through:
Profile-Based Assignment
When a policy is assigned through a profile:
Overdue reminders function normally.
Manager notifications are sent according to configuration.
Manual Distribution
When a policy is assigned manually:
Overdue reminders function normally.
Manager notifications are sent according to configuration.
